I am working in real estate firm. We want to make a policy where one employee can use the pending leaves of other employees, so that the employees leave do not get lapsed and can be utilized by other employee in case of emergency or if his/her leaves are not pending.



We have 21 Privilege Leave(i.e. 1.75 per month and minimum of 15 days of PL should be occupied for avoiding lapse of leaves.) We are entitled to carry forward upto 6 days of privilege leave in any given financial year subject to a maximum of 30 days.

5 sick leave where the sick leave at the end of the year do not get carry forward. We also have 10 compulsory public holiday.



I request if you can provide some criteria wherein employee can take the benefit and some suggestions for the same.

Urvita,

Lets address employees as A & B.

If A is using B's pending leave then A's benefit of carrying forward the leave to the subsequent year will be reduced.
In such scenario, 1 day's wage can be given to B for using his leave. Leave pooling should be a mutual benefit for both the emps and should encourage integrity among them.
On the other hand emps working in the same department can be encouraged to avail this benefit.

Dear Urvita,

Some criteria can be :-

1) Same Department - If one employee is taking leave , there should be a backup to support the operations
2) Same Level - You need to take this thing in mind from salary prespective. Company management will not like that Employee earning 50K Per Month should take leaves from Employee earning 15K Per Month.
3) Authorization - Leave pooling should be authorized by the respective HOD

There can be many more things to be added.

Hi Urvita,
You can look new initiative by introducing "Leave Bank". Every year employees donate 1-2 leave to the bank. For example you have 100 employees and they donate 2 leave every year, you will have 200 leave in the bank.
These leave can be granted to employees who needs emeregy leave and do not have any balance on personal accounts. Long illness, hospitalization, death of close family member etc.
You can form the commitee of few employees who will scrutinize the applications and will grant leave. Once you do that you can form the policy and rules and regulations.
This will be good employee engagement activities where all employees support each others.
I tried this in my one eralier organization and was a great sucess.

Dear Urvita,

I like the suggestion of Vinod,you can try this but at the same time you must take care that the employees of that team should not be bias. It works but requires continue evaluation.
