The incumbent has to act as a company ambassador in communicating the company`s image as a first point of interface for all the Customers / Visitors / Associates.

Greet / Receive and offer hospitality to the visitors to the company.

Attending calls and transferring to the concern person or the department, if not get the complete information from the caller and send an email to the concern person

Handling Interviews:

Step 1: Collect the information`s like Name; Position applied for, Consultancy referred by & (Languages known - It applies for Customer Support Candidates).

Step 2: Based on that coordinate with respective HR Executive to conduct the interviews.

Responsible for incoming and outgoing couriers and maintaining the record thereof. & coordinating with vendors incases of any delay in dispatch and sort out the issues.

Fax - (Sending and receiving the fax, distributing to the concerned person)

Responsible for Call billing software and EPABX software.

Extension list update on a monthly basis PP & FP and update it in the Corporate Admin Folder.

All India Contact details update in corporate admin folder on a monthly basis.

Floral arrangements.

Plants arrangements.

Coordinating with vendor for additional plants requirements and a separate register is maintained for regular checking of the plants by the vendor and it is available at Security Desk.

Photocopy requirements. ( HR Interview forms, Test forms etc )

Newspapers & Magazines - Coordinating with vendor and organizing papers from other branches and ordering according to our needs.

Conference room booking for Employees on first com first serve basis.

First Aid - Maintaining the first air boxes in PP & FP with the help of office assistants and replacing medicines on monthly basis based on requirements.

Printing - Taking care of visiting cards for all over India & US

Coordinating with Vendors for printing of Order forms and Receipts books for Sales Team and distribute it to Branch wise thru dispatch.

Printing of Banners and Brochures for Corporate Advertisement team

Maintenance of Vendor Payment Register and handing over it to the vendors.

Supervising the roles and responsibilities of Security and checking of the registers maintained by them.

Electricity - Coordinating with EB incase of any EB and lift failures.

Cab arrangements for Employees based on request.

Admin Functions:

Based on requirements, coordinating with various Service providers and collecting the quotes and preparing the comparative statements for getting new connections for branches all over India.

EPABX - Coordinating with vendor in maintenance of EPABX and for service related issues.

Activation and deactivation of Landline & Mobile numbers based on request.

Mobiles - Coordinating with vendors like Airtel, Vodofone for getting new connections for your employees and organizing service campaigns.

Ordering new phone instruments for branch offices based on requirements.

Ordering Dial pads and Head sets for customer support team based on request.

Coordinating with Reliance for service related issues.

Coordinating with Reliance to get the new numbers registered in TRAI for NDNC.

Coordinating with Branches for Telecom related issues.

Coordinating with Cabling vendors if there is any expansion, shifting or incase of any problems.

Cross checking Telephone Numbers only of the bills received and ensure that the nos are used by Sulekha and then forward it to Admin
