The popularity of HR software is growing, but itâs important to understand what will be required for the software to function correctly and benefit the company.
According to an article on ArticleDashboard, about 20 percent of companies purchasing HR software stop using the products within six months because they are unable to keep up with the input required to maintain the data.
âA new Human Resource Information System can save you tremendous amounts of time and make you and your staff far more effective at your job, but it is important to understand work will be required to maintain the database and maximize results,â the article notes.
That being said, there are some steps companies can take to minimize the amount of manual input required for hr software. First, itâs important what data will be imported and where the data is coming from. The data may be located in Excel, a payroll system or another HR product. However, regardless of how much data the company has in another product, there will still be some input required.
âRarely will you have the capability of importing benefits data or history, so itâs important to understand that this data will have to be manually input the majority of the time,â the article states. âAny data that you canât import, or that is not available in another system, will have to be manually input as well.â
Companies also should use human resource software interfaces whenever possible, which allow data to be transferred from one system to another.
âThe advantage of an interface is that it can save tremendous amounts of time associated with manual entry,â the article notes. âThat saved time can mean the difference between a helpful product that your employees use and one that they abandon because itâs too cumbersome. If you are using one system for HR and a different product for payroll, make sure you have an interface for transferring data included in the scope of the project.â
While this step will reduce required input and time investment, it wonât eliminate them. There are numerous fields in an HR product that a payroll system may not offer, and they will have to be manually updated.
Finally, itâs most important for a company to maintain its database to receive maximum benefits from HR software.
âInterfaces and a good implementation can assist with this, but additional work is always required,â the article adds. âFor example, all of your code tables for job titles, department titles, and benefits codes will be created at setup, but there will eventually be additions and changes to this information.â
So no matter what system a company uses, input will be required to maintain the database.
